mmentra sync

Privacy policy

Effective October 3, 2026 · Extension test releases 0.4.0–0.5.0

Mentra Sync connects a Canvas school account you authorize with your signed-in Mentra study workspace. This policy covers the Chrome extension and the academic data it sends to the Mentra service. The test release is operated by the Mentra Sync developer and hosted alongside Ritovyn.

The current Mentra test workspace is restricted to its owner. Installing the extension does not grant access to the website. School sign-in and any required Duo verification stay under your control.

Information handled

The extension uses the school/course URLs needed to connect and refresh the selected school. It does not collect a general browsing-history list, unrelated website content, mailbox messages, keystroke logs, or advertising identifiers. Version 0.4.0 imports course and assignment records. Course materials are available in the separate 0.5.0 test build; an earlier store submission does not automatically include that build. External lecture services, locked resources, scanned images, audio, video, and diagrams are not automatically interpreted or transcribed.

How information is used

Academic information is used to display your courses and assignments in Mentra, track deadlines and grades, and support your study planning and source-cited course searches. Saved course text and user-uploaded documents help associate study sessions with the professor’s actual materials and module order. Source search uses relevant passages and does not claim that unavailable material or an entire exam has been covered. Account identifiers and connection tokens associate the sync with the correct workspace. Assignment and material hashes help avoid re-uploading unchanged text.

Connecting a school requires your approval for that school's website address. After connection, opening Mentra or the connected Canvas site can trigger a refresh while Chrome is running. A Mentra or Canvas page may open in a background tab. If the school session expires, you must sign in normally.

Where information is stored and sent

Chrome local extension storage holds the Mentra device token, school connection details, status, timestamps, and change-detection hashes and file-version metadata. Authorized academic records are sent over HTTPS to the connected Mentra website and stored in its hosted database. In 0.5.0 document parsing occurs in the connected Mentra tab using locally packaged readers. Extracted text is uploaded; document binaries are held temporarily for parsing and are not uploaded by this sync. Document text is stored in separate passages and immutable revisions so an interrupted import does not replace committed context. User-uploaded documents follow the same local reading process. The server stores a hash of the device token to validate the connection.

Mentra uses OpenAI Sites hosting and its underlying Cloudflare service infrastructure to deliver the website and store imported records. These service providers process information needed to operate the service. School API requests use your existing authorized Canvas session. Hosting providers may handle operational request metadata, such as IP addresses and request times, as part of delivering the service; this extension does not request location permission or collect GPS location.

Course search and AI

In the 0.5.0 test build, questions search your saved course passages and return source references. No course text or question is sent to an external AI model, and no AI-generated explanations or automatic transcription service is configured. Connecting such a service would require updated disclosures and user approval before sending data to that provider.

Data sharing and limited use

Mentra Sync does not sell academic or account data. It does not use or transfer this data for advertising, unrelated profiling, creditworthiness decisions, or lending. Data is processed to provide the stated Canvas-to-Mentra sync and study-workspace features, including through the hosting providers described above. No advertising or analytics SDK is included in this extension package.

Retention, disconnecting, and deletion

Local connection state remains until it is cleared by disconnecting or removing the extension. Disconnecting through Mentra revokes the device connection, clears the extension's local connection state, and removes its granted school access when the extension receives the disconnect command.

Imported academic records, material text, document revisions, and saved course-search questions remain in the hosted Mentra workspace until removed. Disconnecting or uninstalling alone does not delete records already uploaded. This release does not automatically delete assignments or document revisions removed from Canvas. When a complete material listing no longer returns a source, 0.5.0 excludes it from current answer context while retaining the stored record. Partial or failed listings preserve previous data and show coverage warnings.

For a request to remove hosted Mentra data, contact Ritovyn@gmail.com with “Mentra Sync privacy request” in the subject. The developer must verify the workspace owner's identity before acting on a request. Do not email passwords, verification codes, pairing tokens, or complete academic records. This test release does not provide a one-click full-workspace deletion control.

Changes and contact

If data handling changes, this page and the extension's store disclosures will be updated. New extension integrations or collection beyond this policy are not enabled by this release.

For privacy questions, correction requests, or deletion requests, email Ritovyn@gmail.com and identify the request as relating to Mentra Sync.
